Digital Building Ecosystem ( 3/13): Connectivity of Property Accounting System


An accounting system is one of the essential components for any business entity, but it is often standalone and detached from the business operation, and the property management industry is not an exception. Even payments, the closest operation to an accounting system like monthly rentals, maintenance, sinking fund, late payment interest, etc., have no integration between billings and payment processes, resulting in manual eye-balling reconciliations and frequent errors.

Digital Building Ecosystem (4/12): Know Your Visitors


How to enhance security on the one hand and let the visitors feel welcomed, on the other hand? It seems like the choice is either; to offer both is almost impossible for building management.


For multi-tenanted commercial buildings, even the management has difficulty knowing all their tenants and employees, and when it comes to visitors, almost everybody is a stranger and rarely a familiar friend.
 
"On-arrival visitor registration is still a common practice now; it's awful to see quite some modern buildings are still using logbook to register their visitors. Digital Building Ecosystem (5/13): Awakening Patrol Guards


“One day, we discovered that our guards did the patrol duty they were supposed to do by touring the entire area, but all inside their guardhouse without sweating themselves out. How did they do it? Easy. They removed the checkpoints from the designated locations, tag them all using the handheld reader inside the guardhouse. How would your cloud-based patrol system solve this problem?” A residential condominium Joint Management Body or known as JMB Chairman, asked. 

“No issue with TimeTec Patrol because the NFC (Near Field Communication) tags we use as checkpoints can be geofenced in our system. It means when an NFC tag is removed from its designated location, it will notify the admin, and it can no longer be used as a checkpoint, preventing any form of dishonesty. And, we have patented this technology in Malaysia and the United States,” explained Teh Hon Seng, Founder and CEO of TimeTec Group.

The weakness of the conventional guard tour system is obvious. The supervisor needs to go to each checkpoint to collect the data weekly and report to the management weekly or monthly. Imagine if a site has 100 checkpoints and 12 different tours daily, the management may not want to thoroughly check a plain report stack. 

TimeTec Patrol, as part of the TimeTec Digital Building solutions, improved the patrol system by sending a real-time notification to a supervisor, security head, or any management member they set as admin via mobile phones. For example, if missed punch or late punch or not follow the routes, the system will auto-send notification. The change of task assignments and checklist during the tour also can be distributed easily using the system too.

Digital Building Ecosystem (6/13): Near Field Commerce, The Coming Trend


Despite the success of borderless and O2O (online to offline) e-Commerce businesses, particularly after the Covid-19 attack, we can’t deny that the largest part of commerce activities is still from the nearby offline commerce where we buy stuff near where we stay, and where we work. The nearby offline commerce remains the most natural way to spend our money for our daily sustenance. 

“Is there a necessity to extend the nearby commerce that serves the community from offline to online if they meant to serve the communities nearby? What benefits does it bring to the communities nearby? What is the better term to best describe nearby online commerce? And I use Near Field Commerce, the term I coined, adopting the well-known acronym, NFC, Near Field Communication protocol that takes effects within 4cm for two electronic devices.” Teh Hon Seng, CEO of TimeTec Group discussed the coming trend of community commerce.

He commented, “One of the problems of the existing e-Commerce is, when you purchase multiple items from one eCommerce platform, it might get split into multiple deliveries, that exaggerate carbon emission and packaging wastage problems. But none of these problems exists for the nearby commerce. Even for a group-buy platform like Groupon, it groups all the purchases from individuals to enjoy volume purchase discounts for tangible products. But, when it comes to delivery, it is still done in multiple. In most of the e-Commerce platforms, customers are always treated as separate individuals; while in Near Field Commerce, it targets individuals in the community rather than sporadic individuals from everywhere.”
 
“When a commerce platform targets a community, it can achieve ‘Multiple Purchases, One Delivery’, be it to a workplace or to a residential community.” Teh continued, “ TimeTec has Tenant App for business towers, and i-Neighbour App for a residential community built-in with commerce platform that consists of three components namely i-Merchants for merchant listing, TimeTec Mart for online purchase including community group buy feature, and i-Ad for merchants to advertise and boost their sales.”

Since Near Field Commerce platform is a part of the community ecosystem, it should also integrate with the visitor management system to facilitate the purchase delivery for better security. Property management is the daily oversight of residential, commercial, or industrial real estate contracted to a third-party company by the property developers or building owners. Generally, property managers take responsibility for day-to-day repairs and ongoing maintenance, security, and property upkeep.

Digital Building Ecosystem (2/13): TimeTec Tenant Management Improves Engagement


The lack of technology involvement makes tenant management a non-CRM (Customer Relationship Management) process for a commercial building, which means keeping a good relationship with tenants is much less critical than fees-related activities such as collecting rental, maintenance fee, sinking fund, season parking fee, etc.


At present, most of the existing commercial building owners or property management companies neither offer mobile App to tenants for a two-way communication nor extended the service to tenants' employees for more useful activities. How to add more values to modern building management?

"One of the predicaments of tenant management is the difficulty of getting announcements to reach every tenant and employees. For example, during a duress situation, when they need to evacuate everyone from the building immediately, including visitors, how would they do it? This is a matter of life and death. He continues, "You have to incorporate IoT access control of the common area into the tenant management system, for example, turnstiles at your lobby, elevators, car parks, doors, to achieve a more secure yet convenience people flow environment. Tenants' credential using face recognition or QR code for the physical accesses can be stored in tenant mobile phone."
